Mostly about data — who owns it, where it goes and what happens if you leave. Fair questions, and here are the actual answers.
- What happens to our data and site access when our subscription ends?
- Everyone — registrants and administrative users — keeps read-only access to your site for 30 days past the end date.
- After 30 days your database is archived and stored for up to seven years. If you need extended read-only access to the site, we will maintain it for $500 per year, billed annually.
- How long do you keep our data?
- We never remove anything from your database. It remains available even when it is marked Inactive or Storage.
- Do we have to host anything?
- No. It is software as a service — no server, no bandwidth and no patching at your end, and you are always on the current version.
- What do upgrades cost?
- Nothing, for subscription customers. We release major upgrades on a regular basis, and we make every effort to fold customer enhancement requests into them where they benefit everyone.
- Can staff sign in with their district account?
- Yes. We support LDAP single sign-on and Central Authentication Service integration, so people use the account they already have.
- Can we share events with neighbouring districts?
- Yes, with Peer 2 Peer. You form a consortium with partner sites and open any session to the partners you choose. Their staff register without creating an account on your system, and the event appears on their own site's transcript once completed.
- How do you handle payment?
- Credit cards, e-check, purchase orders, checks and cash. Grants can fund specific registrations or act as coupon codes that discount a session up to 100%, with expiry dates and the ability to deactivate at any time.
